Google Business Profile Optimization: A Practical Checklist

A step-by-step checklist for setting up, verifying and maintaining a Google Business Profile that follows Google’s guidelines, from the business name and categories to photos, posts, reviews and performance tracking.

Last reviewed: 14 October 2026

A Google Business Profile controls how your business appears in Google Maps and in local results on Google Search, and Google’s 2026 guidance notes that it can also help businesses appear in AI-generated responses. For many local businesses in Pune and across India, it is the first thing a customer sees: your name, location, hours, photos and reviews. This checklist follows Google’s own guidelines so you improve your profile without risking suspension.

Google Business Profile was called Google My Business until November 2021, so you will still see the old name in older articles.

Before you start: are you eligible?

Google allows Business Profiles for businesses that either:

  • have a physical location that customers can visit during stated hours, or
  • travel to customers to deliver goods or services (service-area businesses).

There should be one profile per business location. Virtual offices and mailing addresses where you do not actually operate are not eligible, and co-working spaces qualify only if they meet Google’s conditions (for example clear signage and staff present during business hours).

Checklist part 1: core information

  1. Business name: use your real-world name exactly as it appears on your signage, website and stationery. Google does not allow extra keywords, locations, taglines or phone numbers in the name. A name like “Sharma Dental Clinic – Best Dentist in Pune Baner” breaks the rules and can lead to suspension.
  2. Primary category: choose the category that completes the sentence “This business is a…”. Add a few accurate secondary categories only if they describe your core business. Use as few as needed.
  3. Address or service area: use a precise, accurate address. Service-area businesses that do not serve customers at their address should hide the address and set a realistic service area (Google generally expects it not to extend beyond about two hours’ driving from the base).
  4. Phone number: use a number under your direct control.
  5. Website: link to the most relevant page, usually your home page or the page for that location.
  6. Hours: keep regular and special (holiday) hours accurate. Wrong hours lead to frustrated customers and negative reviews.

Checklist part 2: verification

Google needs to verify that you own or manage the business. The available methods depend on your business and are shown in your profile; they can include options such as a video recording, phone or text, email or a postcard. Follow the instructions exactly, make sure the details you submit match your real signage and documents, and avoid editing key details repeatedly during verification.

Checklist part 3: complete the profile

  • Business description: explain what you do, who you serve and what makes you different, in plain language. Google does not allow links or promotional offers in the description.
  • Services or products: list the main services with short, accurate descriptions. Do not list prices you cannot honour.
  • Attributes: add relevant attributes (for example wheelchair access or online appointments) only if they are true.
  • Photos: add real photos of your premises, team (with consent), work and products. Avoid stock images that misrepresent your business.
  • Posts and updates: share genuine updates, offers or events when you have them.

Checklist part 4: reviews

Reviews influence how customers choose and are connected to Google’s idea of prominence. Ask every genuine customer for a review, respond politely to all reviews, and never buy, incentivise or filter reviews. Our Google reviews guide explains the rules in detail.

Checklist part 5: keep it consistent with your website

  • Use the same name, address and phone number on your website, profile and major directories.
  • Create a clear contact page and, if you have several branches, a useful page for each location (see how to create local landing pages that rank).
  • Make sure your website’s structured data (if used) matches your profile. See our structured data guide.

Checklist part 6: track performance

Your profile’s Performance section shows how customers interact with it. According to Google, it includes metrics such as:

MetricWhat it counts
CallsTaps on the call button in your profile (you must add a phone number)
Website clicksClicks on the website link in your profile
DirectionsRequests for directions to your business (Google filters repeats, cancellations and spam)
BookingsCompleted bookings through a supported booking provider

These numbers do not capture everything: for example, a customer who sees your number and dials it manually is not counted as a call. Ask new customers how they found you, and use Google Analytics 4 to track visits and enquiries from your website link.

Mistakes that can get a profile restricted or suspended

  • Keywords, locations or slogans added to the business name.
  • Using a virtual office or an address where you do not operate.
  • Creating several profiles for the same business.
  • Fake reviews, or reviews from staff and family.
  • Listing categories for services you do not provide.

Monthly maintenance routine

  • Check hours, phone and website link.
  • Reply to new reviews.
  • Add a few new genuine photos.
  • Review Performance metrics and compare with enquiries.
  • Check that no one has suggested unwanted edits to your details.

Common questions

Can I have a Business Profile without a shop or office?

Yes, if you serve customers at their location (for example plumbers, tutors who travel or home-cleaning services). Set your business as a service-area business, hide your address and define your service area honestly.

Can I add my city or main service to my business name?

Only if it is genuinely part of your real-world business name, as shown on your signage and documents. Adding extra keywords or locations breaks Google’s guidelines.

How often should I update my profile?

Update it whenever something changes (hours, phone, services) and check it at least monthly. Regular genuine photos and replies to reviews also keep it useful for customers.
